Building Helen’s digital maturity with best-on-the-market IT outsourcing

Midagon helped Helen set new targets and run the full competitive bidding process, transition and transformation of its outsourced IT services.

The challenge

Helen Ltd., a trailblazer in the energy sector, is on a journey to tackle sustainability challenges and implement steps to drive its green transition further. To meet these challenges, Helen needed to accelerate its digital transformation and raise the expectations towards its IT partner ecosystem for new and enhanced capabilities.

Helen operates in an environment with high-level information security and business continuity requirements, which the IT partners must also comply with. Helen specifically recognised a need for partners with solid capabilities to deliver and scale managed cloud services. The enhanced IT service vendor capabilities were needed for Helen’s software development to meet the new requirements for public cloud operations and to improve the quality of Helen's traditional IT services. Helen decided to open a competitive bid to renew its outsourced IT services and selected Midagon to support the process.

How Midagon helped

Midagon cooperated with Helen from the beginning of the procurement process. Midagon's team assisted in defining the competitive bid process strategy and high-level requirements for the target architecture and future mode of operations. Midagon’s consultants worked hands-on with Helen’s experts to formulate detailed service requirements, create contractual provisions for the desired quality and service levels and co-lead the RFI, RFP and RFQ processes.

After completing the bidding process, Midagon subsequently acted as advisor and subject-matter expert in the planning and design phases of the transition and transformation project with the selected partners. Midagon was responsible for ensuring that all contractual requirements were fulfilled during the service implementation, managed scope creep by providing project change control procedures, and acted as an intermediary in conflict of interest situations. 

Results achieved

As a result of the competitive bid process, Helen sourced the most suitable IT partners in the market to fulfil their extended requirements. They also developed robust service management tools and processes to meet the future demands of their digital transformation journey. 

A renewed contractual framework for managing IT partners helped Helen set new targets for supplier performance. Helen also substantially saved the existing running costs while introducing new quality and operational requirements in parallel.
